Day 1 | Wednesday 6, May

Description: With all that is happening today, many of us struggle with questions on what is awaiting us in our field, how we can or need to respond, how to manage workforces coming back into facilities, supporting changes in service demands as might occur. This session aims to support/reassure where possible and stimulate/assist in proactive thinking where useful. The central thought: although we do not understand all ramifications yet, there are probably some things we do understand and can start preparing for today. Other things are probably unclear still, but we can start proactive thinking in order to address them in time in the best possible way. Before talking about solutions and approaches to things, we first try to identify new challenges as we will probably be confronted with; by understanding these challenges well, we can devise better approaches and alternatives to deal with them. The notion behind this session is to provide as much as possible guidance, pointing at ways to handle things, but not overdo it. Posing the appropriate questions in cases we are unsure is probably better than trying to point at solutions we are uncertain about. We are in a process of iterative learning and adaptation. This is perhaps the best way to approach it all: learn – try – fail fast – adapt – postpone decisions whenever possible.

Description: According to a recent IFMA study, 50% of all facility managers will retire within now and ten years. These are big numbers, which call for young professionals to join the facility management sector. This immediately also invokes some challenges, because to very up-front – our profession is dealing with a certain image and surprise! it’s not as hot as working for Google... How will we sure The Next Generation will still join us in our passion? As I am a millennials myself, I think I know exactly what our generation needs. But do I? There already is a generation Z ready to join the market and to be fair – they are a complete game changer. How to make them part of FM and/or your organization? We will share our own experiences as twenty-somethings in FM and how you as an organization/professional can deal with this issue.

Description: Building Information Modeling (BIM) has taken a strong foothold in building design and construction. But it was never very successful in crossing over to the ‘use’ phase of buildings. Until now. The vision of BIM has always been to foster collaboration and to enable seamless data exchange throughout theentire building life cycle. Today, this is finally happening with FMBIM, which bridges the gap between the AEC industries and the building owner/manager/occupier.

The ‘manage’ phase of a building accounts for nearly 80% of total life cycle costs. Optimizing operations on the basis of building data from BIM can, therefore, significantly reduce costs and improve performance. FMBIM does away with paper-based FM practices and their often inaccurate and quickly outdated information. Not to mention the difficulties to access relevant information in a timely manner when problems occur. Furthermore, FM BIM eliminates the need to (manually) collect and input building and equipment data for CMMS or IWMS systems.

Key benefits of FMBIM for facilities teams

At completion and handover of the building, the facilities team disposes immediately of accurate and complete building data. This saves them significant time and money on data capture. Furthermore, the BIM data allows the FM team to run more effective operations from day one. More complete and accessible FM data also means faster analysis and correction of problems, hence increased uptime and a more productive environment for occupants.

Attention points for FMBIM

It’s essential to define in an early stage which data is important and what level of detail you need. Use industry standards for data exchange to prevent loss of data between design and construction to the facility management handover, Ensure that the system is consistently updated over the life cycle of the building. FM BIM needs to reflect the reality of the building in-use (not as-designed or as-built). This is achieved through human inputs, but also increasingly through automation and IoT sensor data.

Description: This session will be an interactive panel presentation that will include the perspectives of 3 generations across 3 countries and two continents. It will explore the relative impact of current state, near-term and future trends of Machine Learning and Artificial Intelligence on Facility Managers at different stages of their career.

AI is the new Business Buzzword. But what is it really, how is it programmed, how is it different from Machine Learning? Most importantly the panel will quantify solutions that professionals are utilizing today to support both Hard and Soft FM. Audience participation will be strongly encouraged.

Description: There is a majority agreement that Climate Change is happening. And - even if we ceased CO2 emissions today, there are committed effects that will alter our climate and weather patterns. This panel discussion will explore preparation and adaptation to Climate Change. Key questions for exploration are; How do you assess Climate Risk? What can you do at a personal/family level? What can you do at your building/company level? What can be done to influence action at a country/global level?

Description: The post-Corona world might reshuffle the role and functioning of real estate in society and influence how we value buildings over time. Looking at the physical and design qualities and life cycles of buildings over a longer period of time can kickstart a different reading of real estate. This lecture starts from an ongoing study looking at the life of 40 (once) revolutionary office buildings and seeing what is left of them, to start thinking about what we can learn for them for the future.

Description: The role of facility manager is as diverse as the range of properties, organizations and businesses in the different markets. Business use the term “facility management” very often. However, in reality, not many people understand what it actually means. Moreover, often perceive FM as a simplistic system of service, and consequently ignore or underestimate FM in terms of Value. We have a funny expression in Russia, which means, “There is no perception without a concept”.

If we ask several facility managers what FM is, then it is not a fact that we will get two identical definitions or descriptions. Even the new international FM standards have not yet put a final point in this matter and represent a certain compromise between the different interpretations of the of the FM essence.

If we ourselves give different definitions and perceive one industry in different ways, then there is no guarantee that our customers, clients, executives will understand us "correctly" - exactly in a way of understanding, we would like to get. Here is a certain challenge and some difficulty for us.

Main question that an executive ask when he hears about the FM: what is its value for business? The answer is not very easy if we operate in the developing market, where FM is not yet popular and underestimated. People do not have clear understanding who we are, why we are useful for business, so sometimes forget to involve FM in time.

What is Facility Management today? FM is generalist discipline with boundless scale, diversity and unlimited space for creativity and improvement. It is about taking care of people and build environment at the same time, as one system, taking into consideration needs of both. Both people and business need home to live in and operate from - safe, comfortable, functional, sustainable, esthetic, clean. FM provides this.

How do we do that? Which cases we face every day and why they are business-important ? Here are some of them - in pictures and figures – as practical and clear examples of the FM value as a system.

Description: Elements of Change is an inspirational talk by Antti Pitkänen that showcases through practical tools, case examples and theoretical frameworks how to develop employee experience and organizational culture during workplace transformation. Workplace transformation is not only the change of our physical environment, but also a process which will support or hinder the development of the culture of the company, ways-of-working and the individual employee experience. Workplace transformation also requires adaptation of new technologies, software and even digitalization of the very core of the business. Change is never ready and it’s crucial that we continue to measure, learn and develop the new environment to fully harness it’s potential. Antti Pitkänen is an experienced design leader, entrepreneur and co-founder of Agile Work, where he helps to turn employee insights into design strategy as part of holistic workplace and culture development programs.

Description: In 2018 ISO41001 was published, finally providing the Facility Management industry with a management system standard. The introduction of this standard was accompanied by very lofty statements: finally FM was coming of age, it was a game changer for the FM industry, it made industry-wide benchmarks on quality and performance possible, it would empower organizations to better use and manage their facilities through spreading best practices, and... it was the Holy Grail in our quest to finally transform into a revenue center. This session brings you case studies from around the globe explaining why organizations and Facility Management professionals saw and see the opportunities that this standard offers. If you are interested in learning more about ISO41001 or are involved in building the business case for implementation, this session is the place to be.

Description: Sector Healthcare is a booming industry with a lot of developments and interests of large companies such as Alibaba, Amazon, and Microsoft. One of the concepts is a new way of healthcare called Value-based  (Porter, 2010).  Derived from this concept am developing the same line of thinking and working for the work environments called value-based work environments. In the last project at Karolinska University Hospital, we had a lot of added value and also got credit for the process steps and way of managing the program.  For me the journey started in 2005, becoming active in building management and starting the MSc Facility Management looking at healing environments. From their via New Ways of Working from an FM perspective, I have developed to work in a more holistic perspective. Thanks to an evidence-based approach that is common in academic healthcare it is great there are many lessons learned and insights to share from healthcare.

Description: We are living in a time of increased numbers and awareness about individuals with neuro-sensitives and special needs, such as ADHD. These individuals can be high energy, risk-taking, good in a crisis, and bold problem solvers. Neurodivergents can bring exceptional value to a team, but navigating the modern workplace can be a challenge. Not only is designing space to be inclusive the right thing to do, there is a compelling business case for it as well. Space today needs to reflect the diverse makeup of organizations to set everyone up for success, so join us as we explore how to design space that can help accommodate all and enable neuro-diverse and inclusive workforce.

Description: Showcasing the award-winning work by Zaha Hadid Architects, Ulrich Blum, an expert in parametric workplace design will talk about the future of office buildings and how they are developing in a global context. Ulrich will share ZHA’s latest workplace projects and explain how elaborate computational workplace tools help to shape the workplaces of tomorrow with automated floorplate analysis and space planning to provide more rigorous user-centred workplace design than previously possible.

Description: The Workplace Experience Revolution Part 2: Do new workplaces work?’ report is the culmination of Leesman’s nine-year analysis across 600,000 employee responses in 3,932 workplaces worldwide (data as of 5 Nov 2019). Dr. Peggie Rothe will explore the data and the reasons why one in five new workplaces fails to meet employee needs. She will also present a ‘super driver’ blueprint, concentrating on the factors which have been proven to make or break the employee experience, to arm FM and CRE leaders with the insight necessary to boost the success rate of workplace change projects.

Description: What have we learned from these past weeks? A session shared with experts from Engie, Yask-Vebego and Sodexo on how our Workforce upgraded their skills and ways of working in the current COVID-19 environment. Based on the experiences of our Service Heroes in the frontline and those who are suddenly out of work. This formerly inflexible group has seen their work evaporate, and faced the challenge of what to do now. Many of them turned out to have more than enough adaptive powers to change their work and the way they do it. We would like to know: What have we learned about new skills and what leadership and support is needed to facilitate our Service Heroes in these uncertain times?

Most businesses today face challenges they have no answers to, so while innovation is becoming crucial, it is rarely approached in a sustained manner. Sustainable innovation starts with interactions. The seeds of sustainable innovation are interactions. Based on those beliefs, this speech will focus on the reason why and how the workplace can be used as a strategic tool to create prosperity for any organisation.

Description: How can we create a working environment that optimally match the needs, drivers and values of employees? In most research studies conducted in this area, respondents reflect on the current (working) environment which leads to a valuable insight into the experience of their current working environment. However, questions about what elements people intrinsically value and need, regardless of their current situation, remain unanswered. Consultancy firm TwynstraGudde has developed a research method to qualitatively measure people's needs, drivers and values related to the working environment. Over 200 one-on-one interviews have been conducted in both public and commercial organisations in the Netherlands. The results give, among others, insight into the relative importance of different value elements and the way in which we can use these as essential building blocks for creating an optimal workplace experience. TwynstraGudde is proud to present the first bi-annual Facility & Workplace Experience research results on World Workplace Europe. During this session the results of the study will be presented, and you will learn more about what this can mean for your organisation.

Description: The development of mobile technology and Internet of Things (IoT) enabled us to completely change how we work, how buildings are being designed and rented, and what kind of level of services can be expected from a landlord of an office building. The long-lease model is under attack and tenants expect more of a hospitality experience from their landlords. Merely providing the shell and core of a building, leaving the corporate real estate (CRE) tenant to lease, design, fit out and manage the office may no longer be enough. Competition from the flexible workspace providers has raised the bar for landlords. Landlords who want to stay competitive, develop new revenue streams and attract high-value, high-growth tenants need to move from the ‘lease and forget’ model to a true subscription model, driven by in-depth understanding of the tenant’s needs and requirements, enabled by modern technology.

Description: At the World Workplace summit 2019 summit in Phoenix, Lisa and Chris offered an overview of the shifting dynamics around us and, in particular, the increasing concern across the globe with regard to Climate Change. This presentation was particularly well-received and we have been encouraged to continue the dialogue by many of the attendees. We want to give attendees an opportunity to dive deeper and leave our session with specific actions to make real positive change. The overall objective would be to gather insight and write an article petitioning IFMA members to skill themselves up and to take specific actions. We would also propose to do something similar in the San Francisco summit a month later. Yes – some great ideas will be gathered here, and we can build a paper from it – emphasizing that it is all of the people in the room that have the solutions – we simply gave them a mechanism and platform to explore the ideas collectively.

Description: The rapid urbanization of our world and the weaving of existing and new buildings into the urban fabric of Smart City initiatives are some of the great challenges facing our global profession today. The phrase Smart Cities has entered the proverbial Tipping Point in interest and awareness in today’s marketplace. Along with the vast amount of definitions and marketing campaigns comes the challenge of understanding why the movement is important to the Facility Management profession and how industry stakeholders can profit from, or at the very least, not get run over by the tsunami called Smart Cities. The emergence of Smart Cities as the container for ideas, thoughts, policies and strategies for the world’s urban environments is an important milestone for the FM industry as it comes at a time of rapid innovation, convergence and redefinitions for many of us in the industry. Join us for a journey of discovery that will describe the disruptive innovations that Facility Managers are using today. This session will showcase examples in Europe, Asia, MIddle East and North America.
